Managing your parish registers and official documents.
Yes — all five, plus Convalidation (blessing of civil marriages). Each sacrament has its own dedicated register with full record management, including date tracking, minister details, and registry references (volume/folio numbers). Records link directly to the parishioner’s profile for a complete spiritual history.
Yes. Every sacrament type has a corresponding letter template that generates official certificates directly from the sacramental record. Certificates include your parish branding (logo, address, contact details) and priest signature line. They can be previewed on screen and printed or exported instantly.
Yes. System default templates are provided for Baptism, First Holy Communion, Confirmation, Marriage, Funeral, Convalidation, and Parishioner Profile letters. You can customise the introduction text, closing text, and sign-off wording for each. Parish logos and diocese crests are automatically included. A live preview shows your changes in real time, and a “Reset to Default” option is always available.

Absolutely. ParishLedger is designed with non-technical users in mind. The interface uses a clean sidebar navigation, intuitive card-based layouts, and clear iconography throughout. Forms are straightforward, dashboards use visual charts and summaries, and a built-in Help & Wiki section provides User Guides, Feature References, and FAQs directly within the platform. Parish volunteers with basic computer literacy can navigate the system comfortably.
User Access & Security
Protecting your data with enterprise-grade controls.
Yes. Every user has a unique email-based login with their own credentials. There are no shared or generic accounts.
Yes. The system includes multiple role levels — Parish Admin, Ministry Admin, and Diocese Admin — each with different levels of access and capability within the platform.
Yes. ParishLedger implements field-level permissions, meaning certain user roles can be prevented from viewing specific sensitive fields on a parishioner’s record. For example, Diocese Admins can view aggregate compliance data but are restricted from accessing individual PII at the parish level.
Yes. Multi-Factor Authentication (MFA) is supported for all administrative accounts, adding an extra layer of security beyond passwords.
Yes. The User Management screen allows administrators to invite new users, assign or change roles, reset passwords, and deactivate or remove accounts — all from a single, clear interface.
Yes. The system maintains an audit trail of user activity and data modifications to support accountability, compliance, and internal governance requirements.

Getting started and accessing the platform.
ParishLedger is 100% cloud-based (SaaS). There is nothing to install, no servers to maintain, and no software updates to manage — everything is handled for you.
Yes. The platform is accessible via any modern web browser on desktops, laptops, and tablets from any location. All connections are secured with HTTPS encryption.
Automated cloud backups are included as part of the managed hosting. Your data is continuously protected with redundant backups to ensure business continuity and disaster recovery.

Data is hosted on secure, enterprise-grade cloud infrastructure. We are committed to data protection compliance and can provide hosting location details upon request to meet your specific data sovereignty requirements.
The platform employs multiple layers of security: HTTPS encryption for all connections, Multi-Factor Authentication (MFA), role-based access controls, field-level permissions to restrict sensitive data visibility, and soft-delete safeguards to prevent accidental data loss.
Yes. Parish Admins have full permissions to create, edit, and update parishioner records, sacramental entries, safeguarding information, and ministry assignments.
Records are never permanently deleted. ParishLedger uses a lifecycle model where parishioners are moved through Active, Deceased, and Deleted states. “Deleted” records are retained in the system and can be recovered, ensuring compliance with both canonical law and data protection regulations.
Communication Features
Reaching your parishioners.
SMS and bulk email messaging are not currently built into the platform. ParishLedger focuses on official parish correspondence through its Letter Templates and certificate generation system, as well as data exports that can be used with your preferred communication tools.
Bulk messaging is not available within the platform at this time. However, you can export filtered parishioner contact lists from the directory and use them with dedicated email or SMS services of your choice. We actively develop based on user feedback — communication features are on our roadmap.

Getting help and trying the system.
Yes. We provide comprehensive onboarding training for parish administrators and clergy. The platform also includes a built-in Help & Wiki section with User Guides, Feature References, authentication guidance, and FAQs — all accessible directly within the system for self-service support.

We offer an Individual Parish plan with full access to all core features (parishioner database, sacramental registers, safeguarding, ministries, reporting), and a Diocesan License that adds aggregate reporting, centralised safeguarding oversight, a diocesan dashboard, and a dedicated success manager. Data Portability
Your data, your control.
Yes. Your data belongs to you. ParishLedger maintains all records in a structured database, and we provide data export capabilities so you can extract your parishioner records, sacramental registers, safeguarding logs, and attendance data in usable formats. Data portability is a fundamental right under data protection law, and we fully support it.
